Platform - Choose the platform you're comfortable with: MS Teams or AAU Zoom.
Duration - Do not schedule meetings longer than 1 hour, if possible. Longer meetings require scheduled breaks.
Minutes - Who takes the minutes?
Presentation (PowerPoint or other) - Test your presentation before the meeting. Especially important if there is audio or video in your presentation.
Designate a participant to monitor the chat.
Use headset for best sound - Test that it works before the meeting.
Preferably a few days before so you have a chance to replace it.
Camera - Test that the height of the camera is right so it is at eye level. Avoid looking up or down at the camera. Avoid backlights that make you look like a dark silhouette. It is important that your face is clear.
Must/May the meeting be recorded - May it be recorded according to GDPR and data security.
Set up the meeting so participants are muted when they log on.

Be the first - As the meeting host, you should be the first to log in to the meeting.
Be prepared - Make sure your presentation and materials are ready.
Welcome - Say hello by name to participants as they log on.
Start on time - Start the meeting on time out of respect for other participants' time. Wait 2-3 minutes at most for those who are running late.
Introduce the rules of the meeting - Agree on how the floor will be given: show of hands, "x" in chat, etc. Avoid talking over each other.
Agenda - Inform participants of the framework and agenda for the meeting so that you have the same starting point.
